Sri Hanuman Plywood Junction
Privacy Policy
Effective date: 24/10/2026
How Sri Hanuman Plywood Junction handles information for website enquiries and the WhatsApp stock-enquiry and ordering assistant.
1. Who operates the service
The legal business name and trading name are both Sri Hanuman Plywood Junction ("we", "us" or "the business"). Our address is No 1248/253/253 Old No 253 HV Halli Pattanagere RR Nagar Bangalore - 560098. Our website is https://www.imply.co.in/. Contact support or privacy enquiries at info@imply.co.in or +91 91106 27384. The business operates in India.
2. Scope and current service
This policy covers these website pages and our WhatsApp stock-enquiry and ordering assistant for plywood, boards and related materials. The assistant receives text messages and button selections. Photo and voice processing are not supported in this version. It does not display prices or take payments.
The assistant matches product requests against our catalogue, retrieves stock information from inventory synchronized from Tally, and shows the parsed order for review. Stock is held only when a customer explicitly asks to hold it. Customers who confirm immediately proceed to fulfilment subject to availability, business acceptance and the agreed payment or approved-credit conditions. Authorized warehouse staff receive order details for fulfilment.
3. Information collected
Contact and delivery information includes a dealer's phone number, name and delivery address. Message content includes WhatsApp text, button selections, clarification replies and notes provided during an enquiry or order.
Order information includes requested products, specifications, quantities, confirmations, order records, reservations and related operational records. Relevant technical records include service events, delivery or processing status and technical error codes where generated. Some operational logs contain masked phone numbers. Debug logs are designed to exclude message text; conversation records are stored separately.
Please provide information needed for your enquiry or order and avoid sending unnecessary sensitive information or other people's personal information without authority.
4. Sources of information
We receive information directly from you through WhatsApp and any website contact channel you choose to use. We also use authorized business systems, including our catalogue and Tally-synchronized inventory, and relevant service-provider records where applicable. Authorized staff may update operational and fulfilment records.
5. How information is used
Information is processed to answer enquiries, clarify product requests, check stock, prepare orders for review, record explicit confirmation, create orders, reserve stock, arrange fulfilment, provide support, protect the service, and investigate technical issues.
A stock enquiry or ordinary customer-service message does not grant permission for unrelated marketing. [BUSINESS TO CONFIRM]: any separate marketing activities, permission process and preference-management arrangements.
6. AI-assisted product interpretation
OpenAI is used to extract structured product requests from messages. Automated interpretation may be incomplete or incorrect. Review the echoed product list, quantities, thickness, size, brand and grade, and correct any errors before explicitly confirming. Ask the business for clarification if any detail is uncertain.
8. International processing
Service providers may process or store information internationally. Processing is not represented as occurring only in India or in any single country. Relevant transfers are subject to applicable arrangements and legal requirements. [BUSINESS TO CONFIRM]: configured hosting locations, transfer arrangements and any safeguards required for the services used.
9. Retention and deletion
Conversations, orders, reservations and operational records are stored using Supabase. Automatic retention cleanup is not currently enabled. Planned retention periods are 45 days for conversations, one year for order records, one day for stock reservation records and 30 days for operational logs. These are proposed cleanup policies, not implemented automatic deletion guarantees.
The planned hold-expiry process would cancel an unconfirmed held order, release stock and delete its reservation record 24 hours after reservation creation. Customer confirmation within that period would prevent expiry, subject to the agreed payment or approved-credit conditions. The order record would remain separate from the deleted reservation record. Automatic hold expiry is not currently implemented.
[BUSINESS TO CONFIRM]: the retention start event for conversations, order records and operational logs; treatment of confirmed reservation records; deletion procedures, backup handling, provider deletion arrangements and any legally required record retention. Some records may need to be retained where legally required or otherwise permitted.
10. Privacy requests and applicable rights
You can contact info@imply.co.in to request access to, correction of, or deletion of your information, or to raise another applicable privacy request. Please explain your request and provide enough information to identify the relevant account or records. We may need proportionate identity or authority checks before acting.
The business commits to completing privacy requests within seven working days of receipt, including any necessary identity checks. Requests remain subject to applicable law and lawful record-retention requirements or permitted exceptions; completion may include explaining why particular records must be retained. [BUSINESS TO CONFIRM]: responsible staff, escalation arrangements and the working-day calendar.
11. Security safeguards
Access restrictions and masked phone numbers in some operational logs are current safeguards. Debug logs are designed to exclude message text. No system or communication channel can be guaranteed absolutely secure.
[BUSINESS TO CONFIRM]: the complete set of reasonable technical and organizational safeguards, access-review practices, incident handling and any additional measures appropriate to the service.
13. Business customers and minors
The assistant is intended for dealers and other business customers aged 18 or older enquiring about or ordering plywood, boards and related materials. Users under 18 are not eligible to use the assistant.
[BUSINESS TO CONFIRM]: how age eligibility is checked and how information received from an ineligible user is handled.
14. Changes and effective date
The effective date is 24/10/2026. This policy may be updated as practices or applicable requirements change, with the revised effective date shown on the page. [BUSINESS TO CONFIRM]: how material changes will be communicated.
15. Request deletion of your data
Email info@imply.co.in with the subject "Data deletion request". Include the WhatsApp phone number used with the service, with country code, your name, any relevant order references and the records you want deleted. If acting for a business or another person, explain your authority. Do not send passwords, payment details or unnecessary identity documents.
The business may ask for proportionate information to verify and locate the request. It commits to completing the request within seven working days of receipt, including necessary identity checks. Deletion may be limited where records must be retained by law or may otherwise be lawfully retained; the outcome may explain such limits. [BUSINESS TO CONFIRM]: deletion workflow, provider and backup handling, outcome communication and the working-day calendar.
